What is Software Center?
Software Center (also known as SCCM) is Winona State University's (WSU) Windows application management framework. SCCM stands for System Center Configuration Manager. Only WSU computers will see WSU's Software Center application. This applies to both Windows desktops, laptops, and any other Windows devices that WSU distributes to users.

What Should I Expect to See?
When Software Center has new software available, a standard notification may appear in the system tray at the lower-right of the screen.

Occasionally, not often, WSU will have to use Software Center to push updates that are time-sensitive, security-related, or that address other known problems. When or if these situations occur, the message notification may be more persistent.

How do I use Software Center?
To find Software Center on your WSU Windows computer, simply click your Start Menu at the lower-left of the screen and begin typing the words Software Center. Once you have it typed out, you should see something like this. Just click on it to begin.

How is Software Center Used?
Software Center offers self-service software installs and can deliver important updates directly to your WSU computer. All students, staff, and faculty members can use this tool by searching for Software Center in their Windows 11 start menu (lower-left hand corner) or by interacting with the Software Center icon in the system tray (lower-right hand corner).

Software Installation
Certain licensed software that was previously made available via the classic Windows Control Panel is now available from Software Center. This includes software from Zoom, JMP, SPSS, Microsoft, and more.

Simply click the icon then click install to get what you need, when you need it.

Software Installation
To install apps via Software Center, follow these steps.

* Open your Start Menu at the lower left of your screen.
* Type “Software Center” then click on Software Center when it appears.
* Click Applications at the top left of the Software Center window.
* From here, click the icon of the app you want to install.
* Once you hit install, the application will begin downloading then will install silently.
** Please be patient during this process!
** Application installs may take anywhere from 2-20 minutes, depending on the speed of your network and the size of the app you are downloading.
What is Managed Software Center?
Managed Software Center (MSC) is an open-source software deployment tool for macOS. It is sometimes referred to as "Munki," which is the name of the backend process that runs it. Managed Software Center is where WSU Mac users can obtain campus-licensed software such as Adobe applications, Microsoft applications, JMP, SPSS, Mathematica, and more. For all intents and purposes it is just a custom WSU app store.

How do I use Managed Software Center?
From your Applications menu, select the black-and-white Managed Software Center icon.

Once open, it may take a moment to download the catalog's contents. Once that automatic step is done, you should see available apps

Click on an app's icon for more info on what that app is and what it can do for you. If you'd like to just start the install immediately, simply click the install button to begin.

Once you've clicked install, you can monitor the install progress via the My Items tab

Troubleshooting Managed Software Center
I don't have Managed Software Center on my computer?
Managed Software Center is automatically installed on all WSU Macs. You can find it in the Applications folder on your Mac. If you are not seeing it, something may be wrong with the automated management of your WSU Mac. If this is the case, please contact WSU Tech Support.

Please note, due to the licensing restrictions required by some of our campus software, Managed Software Center is not supported or available on personally-owned Macs. It is only available on Macs distributed by and managed by WSU.

The Updates tab is stuck on the 'Downloading' part!
Some of these apps are many gigabytes (GB) in size and can take anywhere from 2-20 minutes to install. Some small apps like Cisco AnyConnect can download and install in as little as two minutes, while large apps like Mathematica can take 20 minutes just to download before beginning the install. The speed of the download depends on the quality of your network connection. If your network is slow or drops during install, the download may stop and fail to resume. In this case you can just click Cancel Install on the My Items tab then try again when you have a better internet connection or more time to wait for the download to complete.

How do I know when the download is complete?
In most cases the red text that says "Downloading" will disappear once the install is finished. Otherwise go to your Applications folder and try to launch the app you were installing.

Where is the app I just installed?
Apps are downloaded to your Applications folder. If you can't find it there, it may not be finished downloading and installing yet.

Can I uninstall software with Managed Software Center?
You sure can! Simply open the My Items tab and click the Remove button. The status will change to "Removal requested" and your application will be removed within a few minutes.

RachelSvenningson: /* How to Access Your In-Place/Online Archive: */

On December 26, 2024, all Minnesota State Microsoft 365 accounts will enable E-mail In-Place Archiving to auto-archive emails older than 9 months (280 days) due to recent storage limit adjustments by Microsoft. This will affect all Winona State accounts (students, faculty, staff, emeriti, alumni, and shared mailbox accounts).

Email In-Place Archiving
* Auto-Archiving is a feature that automatically stores older emails in a separate archive folder labeled "In-Place Archive" or "Online Archive", along with your name or email address; depending on which version of Outlook you are using.
* Auto-archiving can help ensure you have access to recent emails and reduce emails and reduce Inbox clutter.
* Email messages older than 9 months (280 days) will automatically be moved to your "In-Place Archive" or "Online Archive".
* Any users returning to the organization and accessing Outlook, will find their older items by scrolling down to the “In-Place Archive” or "Online Archive" folder.
* Any existing folder structure you have created for managing your email will be replicated from your mailbox to your "In-Place Archive" or "Online Archive" folder.

How to Access Your In-Place/Online Archive:
The In-Place Archive will be located in the left folder pane in Outlook, below your primary mailbox. You can access your archived e-mails by navigating to this mailbox in Outlook, then selecting the appropriate folder(s).

The In-Place may be labeled differently depending on which version of Outlook you are using. Below are a few examples of an archived inbox below the primary mailbox.

Q & A
Will I be able to search all of my mailboxes at the same time using the Search tool in Outlook, or will I need to search the archived mailbox separately?

This will depend on the version of Outlook you are using. Outlook for the Web, New Outlook, Classic Outlook, Outlook 2019, 2021, 2024 all show slightly different user experiences.

Will my Inbox file system be replicated in the archived version?

Yes, the folder structure is rebuilt in the Archive. If you create an additional folder in your primary Inbox it will be created in the Archive when items in that folder hit the 280 day timer. If you delete a subfolder in your primary Inbox, it will not delete from the Archive Inbox as there are items in the Archive version of the subfolder. However, if you delete the folder from both your primary and archived Inboxes then it would be completed removed.

How does auto-archiving help with storage limits?

Functionally, the archived data is being shifted to different backend infrastructure within Microsoft that's technically slower speed disk than what most things in the tenant operate off of.

Will it take longer for file searches in the archive?

Technically it is running on slow disk, but in Minnesota State's testing this was negligible. Therefore, we don't expect a significant increase in the time it takes Outlook searches to load results in the archived mailbox compared to the primary mailbox.

Revision
All employees have access to three local network storage directories or folders on campus servers: a shared folder for departmental storage, a private folder for personal storage, and a folder that's open to the world for Web publishing. Some employees have access to a shared folder created by request for use in a specific class. Employees can access these folders using WSU devices when connected to the campus network directly or from off-campus via a VPN connection.

What's local network storage?
Local network storage refers to space on networked servers on the Winona campus administered by WSU staff. Local network storage differs from cloud storage options (e.g., OneDrive, Teams) in that WSU Information Technology Services maintains the file servers here on campus. While cloud-based file storage is more convenient and meets security standards for most files, local network storage is the more secure and the only solution for highly sensitive data. Because our system administrators maintain local network storage, it's also a good way to provide services like Web and class storage that require oversight and customization.

What can be saved to local network storage?
*Local network storage is intended for university-related use only. Do not store your personal files (e.g., family pictures, vacation videos) to any network storage folder. Please consult the personal versus work-related laptop and tablet use article for more information about handling personal files.
*Employees, with the exception of your web or "Course1" folder, local network storage is the only place suitable for saving highly-sensitive, private university data. Please consult our data sensitivity and file storage article for more information about handling private data.
*Never store sensitive or private information in your Course1 folder. It is open to the world.

Local network storage folders
Personal
Every employee has 4 GB of personal network storage on a local campus network server. PC users know this as their R drive (Fig 1). Mac users connect to smb://store.winona.edu/users/[your StarID] (Fig 2). You can use your personal drive to store any work-related file, but it is highly recommended for private university data (e.g., student grades, employee performance reports). You are the only person that can access this storage area.

Department
Depending on the department to which they belong, employees have shared access to one or more network folders, along with other members of the department (i.e., files are not private). PC users know this as their S drive (Fig 1). Mac users connect to smb://store.winona.edu/department (Fig 2). You can use your department drive to store any work-related file, but it is designed to provide access to common files that must be shared within the department. It can also store private university data (e.g., student grades, employee performance reports). However, keep in mind that others in the department have access to these files.

Web
All employees have access to their own folder on a campus Web server. Some PC users may refer to this as their W drive (Fig. 1). Mac users connect to smb://webstore.winona.edu/webstore/course1/[your StarID] (Fig. 2). Every file you place in this drive is available to the world through the Web. You can connect to this drive and save files to it just like you would any other network drive. Because this is a specialized drive used to post Web content, there are a few more steps to using it. Please refer to the articles below for more detailed information:
*How to access and use your Course1 folder

Class
An instructor can request that a network storage folder be created for the duration of a course that is only accessible to the instructor and students of that course. Each student has a personal subfolder and a shared folder that everyone can use. These files are also accessible via web browser by the account owner.
PC users
All your local network storage folders should appear in File Explorer automatically if you connect to the campus network with a wire (e.g. when using a desktop) or to WAZOO when using WiFi.
#Select the icon on your taskbar at the bottom of your screen to open File Explorer. If you don't have this pinned to your taskbar, search your computer for "file explorer." Scroll down to the bottom of the list of locations on the left. Your local network storage folders should be listed under the Network Locations or This PC heading (Fig. 3). You may need to expand that list to see them.
#Open the folder you wish to access.
#If you do not see your folders listed, select the Click to Map Network drive tile on the Start Menu (Fig 4). A black command window will open on your screen (Fig. 5). Wait until the window closes. It may take up to a minute. Check File Explorer again. Contact the TSC if your folders are still missing.

* If you are using a Mac, you can find your downloaded applications in the Adobe Creative Cloud Desktop App, Launchpad, or in the Applications folder.

Q & A
Q. When I try to sign in at the adobe site I get a 400 error message. Error code: general_nonsuccess

A. Use a different browser. This is an issue with saved (cached) credentials in the browser. Switch from your current browser to Microsoft Edge, Mozilla Firefox, or Google Chrome and try to sign in again at adobe.com.

Q. Do I need to pay extra for access to Adobe Creative Cloud at WSU?

A. No! Simply follow the instruction above (not below) to obtain it for no extra cost. The instructions below will incur a cost. We recommend following the procedure outlined above.

Q. Do I need to do all this just to get Adobe Acrobat?

A. If you want to edit PDFs, yes. If you just want to open PDFs, did you know you can open them in Google Chrome or Microsoft Edge? Microsoft Edge even supports annotating PDFs with a stylus pen right in the browser!

Q. So Adobe Acrobat isn't free anymore?

A. Adobe Acrobat is still available for free online, but all it can do is open PDFs, which you can already do with the software pre-loaded on your WSU laptop. Please use caution when downloading free software. The free version of Adobe Acrobat is often "spoofed" and can contain embedded malware. When in doubt, contact WSU Tech Support.
Username and Password
On December 16th a new authentication process was introduced.
* Your current Microsoft Office 365 account will no longer work to access your WSU mailbox.
* You are required to login using your StarID@go.minnstate.edu and StarID password to access your WSU mailbox. This includes access from a mobile device, email client, or other Microsoft Office related application.
* The Microsoft 365 Sign-In Page you currently use to login to your WSU mailbox will change to a Winona State University Sign-In Page: http://sky.winona.edu

Password Reset
*You will need to reset your password using our Self-Service Password Reset Tool prior to logging into your WSU Mailbox:

After completing the self-service password reset, you may log into your Winona State University email account.

ACCOUNT RENEWAL
You are responsible for renewing your WSU account if you wish to retain your WSU Alumni mailbox. The renewal process is simple: Update your WSU password within the required 180 days (twice a year), using the Self-Service Password Reset Tool: https://starid.minnstate.edu/
If you do not reset your password prior to its expiration, your account will become inactive or expired. Inactive or expired accounts associated with your WSU Alumni mailbox are subject to removal after 180 days.

An automated process to handle Alumni account extensions has been implemented. This process should eliminate the need for Alumni to contact User Services to have Active Directory accounts extended (Used for accessing Office 365 mailbox).

Simple Statement:
Alumni must access their mailbox at least once within 180 days of their expiration date: or roughly every 6 months.

After You Leave
Graduates/Alumni
Can I keep my email address after I graduate?
Winona State University Alumni (graduates of WSU) get to keep their WSU Email Address, for their personal (non-commercial) use.

What about my associated Office 365 Storage (OneDrive For Business)?
Graduates are permitted extended access to the complete Microsoft 365 Suite for one full semester (Fall or Winter), following their graduation date. After the initial semester, unless otherwise enrolled in courses, these additional features will become deactivated leaving their mailbox active and accessible through our Sky Services page (https://sky.winona.edu).

The current Microsoft 365 Suite includes additional features such as OneDrive for Business and ProPlus for Students.

During the extended access phase, graduating students are advised to move all files from their OneDrive for Business to an alternate storage location. All data will be lost when this feature has been deactivated.

How do I access my email after graduation?
During the extended access phase (one semester following graduation), you will log in as a Student through our Sky Services page (https://sky.winona.edu).

How long can I keep my alumni email address?
You can keep the your alumni email address as long as you are actively using it by logging in at least once every 180 days (six months) and respond to related email notifications regarding expiring services.

Alumni
*Go to Office 365 Home and log in with your StarID.

RachelSvenningson: /* Mapping Network Drives */

Instructors can request that WSU Information Technology Services create class storage on a WSU network file server for the duration of an academic term that is only accessible to the instructor and students of that course. A class storage directory includes personal subdirectories for each student and a shared subdirectory that all students can access. Class storage directories are accessible via the Web by the account owner. Students are added to the class storage service automatically based on the official class roster and drops/adds are managed automatically throughout the term.

Request class storage
Class storage can be requested by instructors as their courses become available within Minnesota State's official student record system: ISRS. Upon completion of the request form, the class storage directory will be created within two hours. To request class storage:
#Browse to Request a class store
#Enter your StarID username and password. Use only your StarID as the username format (e.g., ab1234cd)
#Select the Change Term tab to ensure that the correct academic term is selected.
#From the Storage Requests tab, select the Create button. All the courses you are scheduled to teach that term will be displayed. If you do not see a course listed, contact your department chair to ensure that you are entered in ISRS as the teacher of record for that course.

Accessing a class store
Class storage is located on a local network file server.
*On a PC, you connect to it as you would your R: (personal) or S: (department) drives. The class storage will be listed automatically as your T directory or ClassStorage(\\winona.edu\dfs\Community)((T:). When you are off campus, you will need a VPN connection and will also need to Click to Map Drives in order to see it on your list of locations in File Explorer.
*On a Mac, select the Go menu of the Finder. Then select Connect to Server. Search for smb://files.winona.edu/classes
*Each class store will be named according to the year/term and the 6 digit Minnesota State ID of that course. Each course will have a 1 GB storage limit. Access to each course will be determined by the class roster.
A TA or tutor can be added to a specific class storage as an instructor to get access.
Updated class lists (due to drop/add) will occur once daily by IT until the drop/add period is over.

Mapping Network Drives
Please refer to Local Network Storage when connecting to storage.

Class store is temporary
Your class store will be disabled at the end of the semester. Don't forget to save anything you need from class store to another location.
